SECURITY & DATA

Your guest data belongs to your restaurant

A guest CRM is only an asset if the guests in it are actually yours. Here is how WowMenu handles ownership, consent and residency.

Restaurant guest data security is usually discussed as a technical topic. For an operator the question is simpler and more commercial: if you leave this platform in three years, do you still have your customers?

That question matters more now than it used to. A restaurant CRM holding visit history, spend and dietary notes for thousands of guests is one of the more valuable assets a venue owns โ€” and on some platforms it is not fully the venue's to take.

Your guest list is yours

Some platforms operate as joint controllers of your customer data, which means the guest who ordered from you is also their customer. WowMenu does not work that way โ€” guest profiles, order history and contacts belong to the restaurant, and export whenever you want them.

โœ…
Consent tracked per channel

WhatsApp, SMS and email are separate permissions, recorded separately per guest. A guest who agreed to booking confirmations by SMS has not agreed to marketing on WhatsApp, and the system treats those as different things.

๐ŸŒ
Data residency by market

Restaurants under UK and EU data rules have different obligations from those in the GCC. Data residency and processing arrangements are set per market rather than assuming one answer fits every venue.

๐Ÿ“ค
Exit without hostage-taking

Guest profiles, order history and menu data export in standard formats. Switching cost should be about effort, not about losing the relationships you spent years building.

๐Ÿ‘ฅ
Access control across branches

Multi-branch groups control who sees what. Branch staff see their own venue's guests; group-level roles see across sites.

๐Ÿ’ณ
Payments handled by the processor

Card details are handled by the payment provider, not stored by WowMenu. Your payment processor's own protections apply to the transaction.

Data questions

Who owns the guest data in WowMenu?

The restaurant does. Guest profiles, order history and contact details belong to the venue that collected them, and can be exported at any time.

Can I export my guest list if I leave?

Yes. Guest profiles and order history export in a standard format. A guest database you cannot take with you is not really yours.

How is guest consent for campaigns handled?

Messaging requires opt-in, tracked per guest and per channel. WhatsApp, SMS and email consent are recorded separately because they are different permissions.

Where is guest data stored?

Data residency depends on your market. Restaurants operating under EU or UK data rules and those in the GCC have different requirements โ€” ask us for the specifics that apply to your venues.
