The paper diary has served restaurants for generations, and it still works on a quiet Tuesday. It fails on the nights that matter: the double booking nobody spotted, the party of eight that never arrived, the walk-in turned away while a table sat empty. A digital reservation system is not about replacing the host. It is about giving the host a better view.

Requests arrive in one queue

Guests book through a guided flow: party size, date, time, occasion and notes, with a deposit where your rules require one. Each request lands in a queue in the Owner Portal, where the host assigns a table and confirms, or declines. Nothing lives on a sticky note.

Conflicts caught before they happen

Before a booking is confirmed, the system checks it against the tables, times and bookings already in place, so two parties are not promised the same table at the same time.

The view that replaces the diary

The reservations screen shows today and the days ahead (from 1 to 14 days), with each booking's party size, table, occasion and status. A pre-order attached to a booking shows its items and value.

Protecting the busy nights

  • Deposits for larger parties protect the covers you would otherwise lose to a no-show.
  • Pacing rules cap covers per slot so the kitchen is not flooded at 8pm.
  • A no-show risk score, which is transparent and rule-based, flags bookings worth a confirmation call.

Walk-ins and the waitlist

When the room is full, the waitlist records each party with a quoted wait, and the host seats them as tables free up. Guests are not lost to the restaurant next door because nobody wrote their name down.

Pre-orders make the evening run on time

For groups and set menus, a pre-order attached to the booking waits in the kitchen's scheduled panel with a suggested release time, worked out from the booking time and how long each dish takes. How pre-orders work.

What stays the same

The host still greets, judges the room and decides who sits where. The system simply makes sure every decision is made with the full picture.
